Havas Group engaged with Active Workplace Solutions to relocate over 1400 members of staff across 9 floors in its new building in St. Pancras Square, London.

Active Workplace Solutions began the process by working closely with both the client and dedicated project manager to ensure each and every move was planned meticulously, ready to start the first of the five phase move towards the end of January.

It was important for the Havas Group that the moves were conducted outside of working hours to ensure minimum downtime and disruption to business. This meant that majority of moves were carried out over weekends, meaning all staff were up and running for first thing Monday morning!


Active solution

The move process began with the production of colour coded labels, by Active Workplace Solutions Administration team, identifying the go to location of all IT equipment, personal or global storage to be moved. These were distributed along with the crates to various sites ready for packing.

The moves included the decommissioning of all desktop IT by supervised IT engineers and the careful protect packing of items by Active Workplace Solutions experienced porters, who then loaded all equipment and crates onto awaiting 17t vehicles ready to be transported. These would be taken to the basement at HKX where another team of Active Workplace Solutions porters would be ready to distribute to designated floor. The crates were then unpacked and the IT equipment recommissioned ready for testing. Active Workplace Solutions then cleared away all the empty crates and offered post move support in the form of one of the supervisors from the weekends move along with porters to assist the removal of emptied crates.

Once the moves were complete, Active Workplace Solutions was put in charge of the clearance of some of the vacated buildings. This involved using our large network of furniture dealers to reuse any redundant furniture of value, which in turn helped to reduce the final cost of the clearance for the client.

In total 55 tons of waste was recycled as a result of the clearances with over 3000 crates and 1400 members of staff oved and settled in to their new premises!
